Reinventing Appointment Scheduler for High Education Industry
The Appointment Scheduler is the most heavily utilized workflow in the platform for students. It serves over 500 schools and 5,000,000 students every day.
In the past 8 months, 3 product teams working from 2 locations, has been collaborated on redesigning this feature. We discussed many significant hypotheses but the best solutions for the current product you can see below.
Milestones
Unified 3 products' user experience in one design
Simplified a 13-step process into 6-clicks
5 rounds of user testings before launching MVP
Increased the utilization of the scheduler by 20% with MVP
Design Process
We start by understanding the problem and finding the primary goal of interviewing power users. We have then created hypotheses and structure with team brainstorm.
I have put together a case study for the research process in a separate project.
Finding the First Availability Quickly and Efficiently
We simplified the searching process with minimum new API support. Students will see the Smart Recommendation powered by machine learning based on their major, class schedule, and searching history.
Different user, different UI
We use a data-driven approach to shape the design. Depends on how each school set up their data, the student may see different UI.
Explicit and Reusable Confirmation Form
Filters
Meeting Invitation
Receive meeting invites from campaign, survey or quick pull setup by schools.
Drop-in
Besides finding a specific time to meet, students can always drop-in. They can join an online waiting room with one click.
Request Alternate Meeting Time
Always allow students to submit their own time availability. There may be some service only support time requesting depending on how school set it up
Personal Link for Advisors
Advisors can share their own 'Personal Link' with any student. By clicking on that link, students can see the advisor's availability instantly. From the staff platform, advisors can update the setting of their link at any point.
